Agreement to Terms

By accessing or using AutoPilot ("the Platform," "the Service," "we," "us," or "our"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, do not use the Platform.

AutoPilot is operated by Peter John-Jacob Herrmann, doing business as AutoPilot ("Operator"). The Platform is intended for use by aviation professionals, student pilots, flight schools, and aviation employers within the United States and internationally, subject to applicable law.

These Terms constitute a legally binding agreement. You should read them carefully before creating an account or accessing any features of the Platform.

Section 2

Eligibility

To use AutoPilot, you must:

  • Be at least 13 years of age. Users under 18 must have parental or guardian consent.
  • Have the legal capacity to enter into a binding agreement in your jurisdiction.
  • Not be barred from using the service under applicable law.
  • Provide accurate, truthful, and complete information during registration and at all times thereafter.

Professional accounts (pilots with certificate information, employers, and flight schools) are subject to additional verification requirements described in Section 7.

Section 3

Account Registration & Security

When you create an account, you agree to:

  • Provide accurate, current, and complete information.
  • Maintain and promptly update your information to keep it accurate.
  • Maintain the security and confidentiality of your login credentials.
  • Accept full responsibility for all activities that occur under your account.
  • Immediately notify AutoPilot of any unauthorized use of your account.

AutoPilot is not liable for any loss or damage arising from your failure to maintain the security of your account. You may not share, sell, or transfer your account to another person.

Section 4

Description of Services

AutoPilot provides a digital platform offering the following services:

  • Pilot Career Profiles: Digital professional profiles for aviation personnel.
  • Digital Logbook: Tools for recording and managing flight time and currency. See Section 7 and the Logbook Policy tab for important limitations.
  • Job Board: A marketplace connecting pilots with aviation employers.
  • Aircraft Rental Marketplace: A listing service connecting pilots with aircraft owners and flight schools offering rentals.
  • Mentorship Network: A structured program connecting aspiring pilots with experienced aviation professionals.
  • Flight School Directory: A searchable directory of flight training programs.

AutoPilot reserves the right to modify, suspend, or discontinue any aspect of the Service at any time with reasonable notice.

Section 5

User Conduct

You agree not to use the Platform to:

  • Post false, misleading, or fraudulent information of any kind.
  • Falsify flight hours, certificates, ratings, endorsements, or any aviation credentials.
  • Impersonate any person, entity, CFI, or aviation authority.
  • Harass, threaten, or harm other users.
  • Upload malicious code, spam, or content that violates any law.
  • Scrape, harvest, or collect user data without authorization.
  • Circumvent any security or verification features of the Platform.
  • Use the Platform for any unlawful purpose.

Subscription, Billing & Cancellation

AutoPilot offers free and paid subscription tiers. By subscribing to a paid plan, you agree to the following:

  • Subscriptions are billed in advance on a monthly or annual basis.
  • All fees are non-refundable except where required by law or expressly stated otherwise.
  • You may cancel your subscription at any time; cancellation takes effect at the end of the current billing period.
  • AutoPilot reserves the right to change pricing with 30 days advance notice to subscribers.
  • Failed payments may result in downgrade to a free tier or account suspension.

Limitation of Liability

Important Disclaimer

AutoPilot is a record-keeping and career management tool. It is NOT an official FAA logbook, and data stored on AutoPilot does not constitute official documentation for regulatory, legal, or certification purposes without supporting physical or digital records acceptable to the FAA.

To the maximum extent permitted by applicable law, AutoPilot and its operator shall not be liable for:

  • Any indirect, incidental, special, consequential, or punitive damages.
  • Loss of data, revenue, profits, or business opportunities.
  • Decisions made by employers or flight schools based on information in AutoPilot profiles.
  • Any aviation incident, accident, or regulatory violation related to currency status displayed on the Platform.
  • Inaccuracies in logbook data entered by users.

Our total liability to you for any claims arising from these Terms or your use of the Platform shall not exceed the greater of (a) $100 or (b) the amount you paid to AutoPilot in the three months preceding the claim.

Section 8

Intellectual Property

AutoPilot and its content, features, and functionality are owned by AutoPilot and are protected by U.S. and international copyright, trademark, patent, trade secret, and other intellectual property laws.

You retain ownership of content you submit to the Platform (your logbook data, profile information, etc.), but you grant AutoPilot a non-exclusive, worldwide, royalty-free license to use, store, display, and process that content solely to operate and improve the Service.

The AUTOPILOT trademark (USPTO Serial No. 99745873) is a registered trademark of Peter John-Jacob Herrmann. Unauthorized use is prohibited.

Section 9

Termination

AutoPilot may suspend or terminate your account immediately, without prior notice, if you:

  • Violate these Terms or any other AutoPilot policy.
  • Provide false or fraudulent information, particularly regarding aviation credentials or flight hours.
  • Engage in conduct that harms other users, the Platform, or AutoPilot's reputation.

Upon termination, your right to use the Platform ceases immediately. You may request an export of your logbook data within 30 days of termination. AutoPilot reserves the right to retain data as required by law or for fraud prevention purposes.

Section 10

Governing Law & Dispute Resolution

These Terms are governed by the laws of the State of Florida, without regard to its conflict of law provisions. Any disputes arising from these Terms shall be resolved in the state or federal courts located in Lee County, Florida.

Before initiating any formal legal proceedings, you agree to contact AutoPilot in writing and allow 30 days for good-faith resolution of any dispute.

Information We Collect

AutoPilot collects the following categories of information:

Account Information: Name, email address, password (hashed), and any additional profile information you provide including pilot certificates, ratings, and employment history.

Logbook Data: Flight records you enter including dates, aircraft, routes, flight times, conditions, instructor endorsements, and CFI certificate numbers.

Usage Data: Information about how you interact with the Platform, including pages visited, features used, and time spent.

Device & Technical Data: IP address, browser type, operating system, and device identifiers.

Communications: Messages you send through the Platform's messaging system.

How We Use Your Information

We use collected information to:

  • Operate, maintain, and improve the Platform.
  • Match pilots with relevant job opportunities based on their qualifications.
  • Calculate and display currency status based on logbook entries.
  • Send service communications, updates, and (with consent) marketing emails.
  • Verify aviation credentials and prevent fraud.
  • Comply with legal obligations.
  • Respond to support requests and inquiries.

Information Sharing

What Employers and Schools See

When you apply for a position or contact a flight school, your profile information including certificates, ratings, total hours, and employment history is shared with that employer or school. You control what appears on your public profile.

We do not sell your personal information to third parties. We may share information in the following circumstances:

  • With employers and schools — when you apply to or contact them through the Platform.
  • Service providers — third-party vendors who help us operate the Platform (hosting, analytics, payment processing) under confidentiality agreements.
  • Legal requirements — when required by law, subpoena, court order, or to protect the rights and safety of AutoPilot and its users.
  • Business transfers — in connection with a merger, acquisition, or sale of assets, with notice to users.
Section 4

Data Retention & Security

We retain your data for as long as your account is active and for a reasonable period thereafter. Logbook data is retained for at least 7 years from the date of entry to accommodate FAA record-keeping norms.

We implement industry-standard security measures including encryption at rest and in transit, access controls, and regular security reviews. However, no method of transmission over the internet is 100% secure.

Your Rights

You have the right to:

  • Access and review your personal information.
  • Correct inaccurate data.
  • Request deletion of your account and associated data (subject to retention obligations).
  • Export your logbook data in a standard format.
  • Opt out of marketing communications at any time.
  • For California residents: additional rights under CCPA apply.

Cookies & Tracking

AutoPilot uses cookies and similar tracking technologies to maintain your session, remember preferences, and analyze usage patterns. You may control cookie settings through your browser, though disabling cookies may limit Platform functionality.

Section 1

Purpose

Aviation is a safety-critical profession. The integrity of our community depends on every member providing accurate, honest information. This Acceptable Use Policy ("AUP") sets clear rules for how AutoPilot may and may not be used.

Violations of this AUP may result in immediate account suspension, permanent ban, and where appropriate, referral to the FAA, NTSB, or law enforcement.

Section 2

Strictly Prohibited Uses

Zero Tolerance Violations

The following violations result in immediate, permanent account termination with no appeal and may be referred to regulatory authorities.

  • Falsifying flight hours or logbook entries — including inflating totals, fabricating flights, or entering false conditions (day/night, IMC/VMC, etc.).
  • Fabricating CFI endorsements — entering false CFI certificate numbers or forging instructor signatures on any logbook entry.
  • Misrepresenting certificates or ratings — claiming to hold a certificate, rating, or medical that you do not currently hold.
  • Impersonating a CFI, CFII, or other aviation professional.
  • Submitting fraudulent employment history — claiming flight time or positions from employers where you were not employed.
  • Attempting to bypass or undermine verification systems.
Section 3

Professional Standards

All users are expected to maintain professional standards consistent with the aviation industry. This includes:

  • Treating other pilots, instructors, employers, and school representatives with respect.
  • Responding to employer inquiries honestly and in good faith.
  • Not submitting applications for positions you are not qualified for with the intent to misrepresent qualifications.
  • Not spamming employers, schools, or other users through the messaging system.
  • Maintaining current and accurate profile information.
Section 4

Employer & School Obligations

Employers and flight schools using AutoPilot agree to:

  • Post only genuine, lawful job openings and training programs.
  • Not use pilot data accessed through AutoPilot for any purpose other than aviation hiring and training.
  • Maintain the confidentiality of pilot information accessed through the Platform.
  • Comply with all applicable employment laws including anti-discrimination statutes.
  • Not contact pilots outside the Platform to circumvent AutoPilot's services.

Reporting Violations

If you believe another user is violating this AUP — particularly by falsifying flight hours or credentials — please report it immediately. Aviation safety depends on the integrity of every pilot's credentials.

How to Report

Use the "Report" button on any profile, logbook, or message, or email us directly at safety@flywithautopilot.com. Reports are handled confidentially. Knowingly filing false reports is itself a violation of this AUP.

Nature of the AutoPilot Logbook

Legal Status of Digital Logbook Records

The AutoPilot digital logbook is a record-keeping aid, not an official FAA logbook. The FAA accepts electronic logbooks as pilot records per AC 61-98D, but pilots are responsible for ensuring their records meet all regulatory requirements. AutoPilot does not certify the accuracy of any logbook entry.

All flight time entered into AutoPilot is self-reported by the user. AutoPilot provides CFI signature functionality to support the verification of dual received entries, but cannot independently verify the accuracy of any flight record.

Section 2

CFI Endorsement & Signature Requirements

Per FAR 61.51, a pilot must record flight training time received and the name, certificate number, and certificate expiration date of each authorized instructor who provides instruction. AutoPilot implements this requirement as follows:

  • Dual Received entries require a CFI name, certificate number, and expiration date.
  • CFI Digital Signature — instructors may sign entries directly through the AutoPilot platform using their registered CFI account.
  • Manual Entry — if your CFI is not on AutoPilot, you may enter their certificate number manually. You are legally responsible for the accuracy of this information.
  • Unsigned Dual Entries are flagged as "Unverified" and may not be presented to employers as verified flight time.
For CFIs

When a student logs dual received with your certificate number on AutoPilot, you will receive a notification to review and digitally sign the entry. Signing confirms you provided the instruction logged. If you did not provide the instruction, decline and report the entry immediately.

Section 3

Falsification — Consequences & Reporting

Federal Law & Aviation Safety

Falsifying a pilot logbook may constitute fraud under 18 U.S.C. § 1001 (false statements to a federal agency) and may result in certificate revocation under 49 U.S.C. § 44709. AutoPilot will cooperate fully with FAA investigations involving falsified records on our platform.

AutoPilot employs the following measures to deter and detect falsification:

  • FAA Certificate Verification: Certificate numbers entered for CFIs are cross-referenced against the FAA Airmen Inquiry database.
  • Anomaly Detection: Our systems flag statistically improbable flight time patterns for review.
  • Employer Verification Requests: Employers may request a verification report for any candidate, which flags unverified entries.
  • CFI Notification: Any CFI whose certificate number is entered on our platform is notified and can dispute entries.
  • Audit Trail: All logbook entries include an immutable timestamp and edit history.
Section 4

Currency Calculations

AutoPilot calculates and displays currency status based on the flight data you enter. These calculations are provided for informational convenience only. You are solely responsible for verifying your own currency before acting as pilot in command.

  • Currency calculations are based on entries in AutoPilot only. Flights not entered will not be reflected.
  • Currency status displayed on AutoPilot does not constitute a legal determination of currency.
  • Always verify currency requirements directly against the applicable FARs before flight.

Data Export & Backup

AutoPilot strongly recommends maintaining a backup copy of your logbook data. You may export your logbook at any time in CSV format. AutoPilot is not responsible for data loss due to technical failures, and your AutoPilot logbook should not be your sole record of flight time.

Consistent with FAR 61.51(b)(1), pilots should retain logbook records for a minimum of the periods required by applicable regulations.
